This policy explains how Elmaya Reels (“we”, “us”, “our”) collects, uses and protects your personal data when you visit elmayareels.com, contact us, or book a photography or videography service. We are committed to protecting your privacy and to complying with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Acts 1988–2018.

1. Who we are

Elmaya Reels is a photography and videography business based in Co. Cork, Ireland, run by Rijo. We are the data controller for the personal data described in this policy.

2. What personal data we collect

Information you give us

  • Enquiry and booking forms: your name, email address, phone or WhatsApp number, the service you’re interested in, preferred date, time and location, budget range, how you heard about us, and anything you write in your message.
  • Emails, calls, WhatsApp and social media messages: the details you share when you contact us directly.
  • Booking and payment details: the information needed to prepare quotes, agreements and invoices. We do not store card details on this website.

Photographs and video

Photos and videos we take of you, your family, guests or business are personal data. We use them to deliver the service you booked.

Information collected automatically

If you accept analytics cookies, Google Analytics collects information about how you use our website, such as the pages you visit, how long you stay, your approximate location (city/country), device and browser type, and how you found us. See section 7 for details.

3. How we use your data and our legal basis

  • To reply to your enquiry and send you a quote — legitimate interests and steps taken before entering a contract.
  • To plan, deliver and manage your booking, including sharing your gallery or film — performance of a contract.
  • To keep financial and tax records — legal obligation.
  • To understand and improve our website using Google Analytics — your consent, which you can withdraw at any time.
  • To show your photos or videos in our portfolio, website or social media — your consent. We only feature your images publicly with your permission, and you can ask us to remove them at any time.

We do not sell your personal data, and we do not use it for automated decision-making or profiling.

4. Who we share your data with

We only share your data with trusted service providers who help us run the business, and only as much as they need:

  • Website hosting (Hostinger) — hosts this website and processes form submissions.
  • Email and cloud storage providers — to send and receive emails and to store and deliver your photos and videos.
  • Google — Google Analytics (only if you accept cookies) and Google Maps when you choose to view our profile.
  • Meta (WhatsApp, Instagram and Facebook) — if you choose to contact us through these platforms. Their own privacy policies apply.
  • Accountants and professional advisers — where needed for legal, tax or accounting purposes.
  • Authorities — where we are required to by law.

5. International transfers

Some of our service providers (for example Google and Meta) may process data outside the European Economic Area. Where this happens, the transfer is protected by appropriate safeguards such as the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

6. How long we keep your data

  • Enquiries that don’t lead to a booking: up to 12 months, then deleted.
  • Client records, agreements and invoices: 6 years after the end of the tax year, as required by Irish Revenue rules.
  • Photos and videos: we keep a backup of your delivered gallery or film for up to 12 months after delivery so we can help if you lose your files. After that it may be deleted, so please download and back up your files.
  • Portfolio images: for as long as you are happy for us to use them. Ask us at any time and we’ll remove them.
  • Analytics data: kept in Google Analytics for up to 14 months.

7. Cookies

Cookies are small text files stored on your device. We only use non-essential cookies if you agree to them through our cookie banner.

  • Strictly necessary: we store your cookie choice (elmaya_consent) in your browser for 12 months so we don’t ask you again on every visit.
  • Analytics (only with your consent): Google Analytics sets _ga and _ga_* cookies, which last up to 2 years, to count visits and understand how the site is used.

You can change your mind at any time using the Cookie settings link at the bottom of every page, or by clearing cookies in your browser. Our WhatsApp chat button does not set cookies until you click it.

8. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate data;
  • ask us to delete your data;
  • restrict or object to how we use your data;
  • receive your data in a portable format;
  • withdraw your consent at any time (this does not affect anything we did before you withdrew it).

To use any of these rights, email rijo@elmayareels.com. We will reply within one month.

If you’re unhappy with how we’ve handled your data, you can complain to the Data Protection Commission at www.dataprotection.ie.

9. Keeping your data safe

We use secure (HTTPS) connections, password-protected accounts and reputable service providers to protect your personal data. Client galleries are shared through private links.

10. Children

Our website is not aimed at children. When we photograph children, it is at the request of, and with the consent of, their parent or guardian.
